Access control for small offices

Keys work until someone leaves with one. Access control replaces keys with something you can switch off: a code, a fob or a phone. When you are choosing access control for small offices of ten to fifty people, it comes down to how much you need to know about who came in, and how often your team changes.

Keypads and codes

A keypad is the simplest option. Everyone shares a code, or has their own. It suits a single door and a small, settled team. The weakness is that codes get shared, so change them when people leave.

Fobs and cards

Each person has a fob or card that can be cancelled in seconds if it is lost. The system keeps a record of which fob opened which door and when. This is the most common choice for small offices, and it grows easily as you add doors or people.

Phones

Many systems can now use a phone in place of a fob, over Bluetooth or an app. There is nothing to hand out or collect, which helps with visitors, contractors and hybrid teams. Check what happens when a phone battery is flat, and keep a few fobs as a backup.

Door entry for visitors

A video intercom at the main door lets reception, or a phone, see and speak to a visitor before letting them in. It pairs well with fobs for staff.

What to think about before you choose

  • How many doors need control, now and in two years.
  • Whether you need different access for different people or times of day.
  • Whether you need a record of entries.
  • How doors release in a fire. Controlled doors on escape routes must open when the fire alarm sounds or the power fails.
  • Who will add and remove users. Good software makes this a one-minute job.
